CUSTOMER ORDERS:
• Checks the completeness and correctness of the required documentation for all customer order requests
• Creates and submits the Material Requisitions (due to customer order) to Purchasers / Purchasing Head Coordinator
• Ensures that customer order related activities are being executed based on the set/given timeline
• Regularly coordinates with Product Officers assigned in Head Quarters of the pending supplier’s delivery
• Regularly updates Sales and Operations personnel for any status on the customer order requests
• Ensures the closure of customer order requests and necessary documents are posted accordingly
PRODUCTS AND DISPLAY:
• Conducts pep talks to merchandisers relative to price revision, change description, promos and new items. Ensures that the stocking level for all Outright items are within the set minimum and maximum level
• Monitors, reviews and validates the Material Requests (MR) due to stock replenishment sent by Operations personnel
• Monitors and coordinates to Product Officers-HQ / Product Specialist the pending, undelivered / incomplete Purchase Orders. Monitors minimum and maximum inventory of concessionaire based on the received report for items that are below and over the inventory quantity
• Monitors the ingress of newly approved items and suppliers
• Ensures that the damaged items for swapping, items for pull-outs, items for inter-branch and central warehouse transfers are prepared prior to advised pull-out and transfer activity.
• Works closely with Product Specialist and ensure that goals/tasks are executed.
*Take photos and submit recommendation to Product Specialist to improve the display of merchandise.
*Ensures that endcaps, signages and billboards assigned to supplier are kept lighted, clean and complete.
*Checks if all the collaterals are posted during the promo period
*Ensure that new supplier will deliver display and module on the specified date in the notice to proceed
*Ensures that newly approved items are properly displayed
*Makes a recommendation for the old aged item or non-moving stock/display
• Monitors the implementation of price change throughout the store
• Accommodates and monitors request of construction and deconstruction of packages
• Performs other purchasing tasks assigned from time to time
• A graduate of any 4-year course (a graduate of human resources is a plus)
• With at least 1 year of relevant work experience in any of the following facets of human resources division: recruitment, payroll processing, timekeeping, compensation and benefits administration, administrative, employee and labor relations
• Must have basic knowledge in Microsoft Office (Word, Excel, etc.)
• With good communications skills for both oral and written
• Must have a pleasing personality and has the ability to confidently converse with people at all levels
• Knowledge in Philippine Labor Code or Law is an advantage
Recruitment/Plantilla Management:
• Monitors plantilla and maintains and updates 201 files of all employees
Timekeeping and Payroll:
• Files, checks and validates daily attendance, related documents of direct hired and agency based employees such as DTR, OT, Leave, travel, timekeeping forms
• Updates payroll system regarding pertinent information of newly hired employees and time keeping concerns such as OT, travel, leave, change day off etc.
• Prepares summary report and process payroll of direct hired employees and distributes employees’ pay slips and attends to employees’ salary/timekeeping related concerns
• Ensures timekeeping system runs smoothly and reports to IT any malfunction or system error
• Prepares timekeeping/payroll related reports timely and accurately such as but not limited to: payroll summary, pay slip receiving summary, perfect attendance, managers’ attendance, OT summary
• Creates daily attendance monitoring report for agency based/suppliers employees
• Sends DTR to agencies and suppliers
• Coordinates with agencies regarding salary, DTR and billing statements
• Verifies billing statements submitted by agencies
Compensation and Benefits:
• Implements annual medical examination and drug testing of employees
Performance Management:
• Conducts performance appraisal feedback of direct and agency based employees with department heads (probationary, semi and annual appraisal and renewal of service contract)
Employee and Labor Relations:
• Conducts initial investigation based on the forwarded incident report by concerned department to be forwarded to HR Manager for review
• Prepares and facilitates concerns, grievances, inquiries, feedback to be escalated to the HR Manager
• Prepares timely and accurate reports such as but not limited to semi-annual performance appraisal, disciplinary timeline, agency feedback and agency employee feedback and recruitment reports
• Computes performance appraisal grades
• Generates monthly report of employees’ attendance to HR Supervisor for disciplinary action and prepares tardiness memos and other disciplinary related letters to agencies and suppliers
• Conducts exit interview of separated employees and facilitates clearance signing
• Performs administrative functions as secondary in the absence of administration personnel and other HR and administrative tasks that may be assigned from time to time
• A graduate of Fine Arts/ Advertising or any related course
• Highly creative and can work under pressure
• Has an advanced technical knowledge in graphic related software (e.g. Adobe Photoshop, etc.)
• With at least 1-year experience in Graphic Design, advertising or related field
Creative Works:
• Produces all the art work needed for merchandising/events like exhibit with coordination with the designers, and promo materials with coordination with concerned departments
Coordination:
• Engages in styling and providing visual materials related to the above
• Keeps lay-outs and materials needed for references of supplier upon installation
• Coordinates and supervises all the artwork related collaterals (indoor signage and merchandising and promo materials)
• Supervises all products and services given by third party service providers
Monitoring:
• Recommends and provides input to all the creative efforts and activities of the department
• Ensures the correct material and quality provided by the supplier
• Sets target deadlines to be coordinated with Purchasing and supplier
• Performs other task assigned from time to time
